Moving a corporate board, exhibitor team, roadshow, or international delegation between downtown Chicago hotels and McCormick Place requires more than assigning a vehicle and entering the venue name into GPS. The plan must identify the correct building, the event’s current transportation instructions, the passenger manifest, the vehicle assignments, and the person authorized to approve changes.
This guide explains the facility facts and operating decisions that matter when several sedans, SUVs, or Mercedes-Benz Sprinter vans must function as one coordinated transportation program.
1. Confirm the Exact Building Before Planning the Movement
McCormick Place is the largest convention center in North America. Its four connected convention buildings—North, South, West, and Lakeside Center—provide approximately 2.6 million square feet of exhibit space. Wintrust Arena is part of the broader campus, and Arie Crown Theater is located inside Lakeside Center.
The campus does not operate as one universal curb. McCormick Place’s official guidance lists building-specific addresses, transportation gates, and loading zones. Event organizers may further assign or change the entrance that applies to a particular show, vehicle type, or day.
The organizer’s current instructions and McCormick Place event guidance always take priority over a generic gate reference. A transportation company should confirm the show name, building, entrance, and any credentialing requirement before the first movement.
Examples from the current official building specifications
| Building | Examples of officially listed transportation gates | Planning caution |
| North and South Buildings | Gates 1–3 for shuttle buses; Gate 4 for taxi and rideshare; Gates 25–27 for shuttle buses, taxi loading/unloading, and limousine or charter-bus staging. | Confirm which lobby and gate the event is using. North and South share portions of the campus but are not interchangeable for every itinerary. |
| West Building | Gate 40 for taxi and rideshare; Gate 42 for charter buses; Gates 43–44 for shuttle buses. | Gate 40 is widely referenced for rideshare, but a private chauffeured reservation should follow the event-specific meeting instructions. |
| Lakeside Center | Gate 30 for taxi pickup; Gates 31–34 for shuttle buses; Gate 37 for taxi drop-off; Gate 38 for limousines and rideshare. | Lakeside is east of DuSable Lake Shore Drive and differs materially from the North, South, and West approaches. |
These examples are planning references, not standing assignments for every event. Verify them against the event organizer’s instructions before service.
2. Understand What the Busway and Freight Areas Are—and Are Not
The private McCormick Place Busway
The McCormick Place Busway is a private, approximately 2.5-mile roadway developed for convention shuttle buses traveling between downtown hotels and the campus. It is not a general passenger-vehicle shortcut. Do not assume that an independent sedan, SUV, or Sprinter reservation may use it; access depends on facility and event authorization.
Freight and truck marshaling
McCormick Place identifies its truck-marshaling facility at 31st Street and DuSable Lake Shore Drive, adjacent to Lot B, with an address of 3050 S. Moe Drive. Freight, drayage, crates, and booth-material movement are handled through the show’s general service contractor and McCormick Place procedures—not through a chauffeured passenger reservation.
Passenger vehicles should use the approved passenger loading or staging instructions. A driver should not enter a freight or dock approach unless the facility or organizer has explicitly authorized it.
3. Build One Transportation Plan for the Entire Group
A multi-vehicle program should be designed as one itinerary rather than a collection of unrelated reservations. The planning file should include:
- the show or event name;
- the McCormick Place building and current entrance or gate;
- every pickup and drop-off address, including the exact hotel entrance;
- the movement time and required arrival time;
- the passenger manifest and vehicle assignment;
- the passenger count, luggage count, and any presentation materials;
- airport flight details for arriving or departing passengers;
- the primary booking contact and an on-site group contact;
- the person authorized to approve schedule or vehicle changes; and
- accessibility, child-seat, credentialing, or security requirements.
For complex programs, LimoRSVP can coordinate several movements under one itinerary and one office point of contact, subject to the confirmed reservation. The planner should provide updates through the office so dispatch can revise the itinerary and update the chauffeurs consistently.
4. Size the Vehicles by Passengers and Cargo Separately
Passenger capacity does not automatically equal luggage capacity. A vehicle that can seat the full group may not hold the same number of large checked bags, exhibit materials, or presentation cases.
- Executive sedan: appropriate for an individual executive or a small party with limited luggage.
- Executive SUV: appropriate when a small group needs more passenger or cargo room.
- Mercedes-Benz Sprinter executive van: LimoRSVP’s commonly quoted service configuration accommodates up to 13 passengers. Actual luggage capacity depends on bag size, seating configuration, and any materials traveling with the group.
- Multiple vehicles: required when passenger count, luggage, schedule separation, or principal-level travel needs make one vehicle impractical.
Send the actual passenger and bag counts. Do not rely on a statement such as “13 passengers plus luggage” without specifying the number and approximate size of the bags.
5. Separate Confirmed Service from Optional Contingencies
Flight monitoring
For airport legs, flight status can be monitored when the airline and flight number are included in the reservation. Venue movements depend on the confirmed itinerary and updates supplied by the planner or event organizer.
Schedule changes
Dispatch can coordinate changes during an active reservation, but changes remain subject to vehicle availability, chauffeur duty limits, venue access, traffic, and the service structure that was reserved. A vehicle cannot legally or operationally hold wherever a planner chooses; staging must follow current facility and street restrictions.
Backup capacity
A spare vehicle or chauffeur should not be implied as automatically included. When backup capacity is important, it should be requested, quoted, and confirmed before the event.
Dedicated coordination
A single office point of contact can be arranged for a multi-vehicle itinerary. Avoid promising a dedicated on-site coordinator, continuous event-agenda monitoring, or a specific communications channel unless those services are explicitly included in the confirmation.
6. Plan for Event-Specific Restrictions
Major conventions, public officials, international delegations, and high-profile events may involve credentials, restricted approaches, security screening, or temporary traffic controls. The organizer’s transportation bulletin should be collected before service and shared with the office.
When instructions change, call the LimoRSVP office. Dispatch will update the chauffeur rather than asking passengers or planners to coordinate separate instructions with multiple drivers.
7. Coordinate Downtown Hotel Loading
Large downtown hotels may have a main entrance, side entrance, motor court, loading zone, or temporary convention-week pickup location. A Sprinter may not be permitted to wait at the same curb as a sedan, and a multi-vehicle group may need staggered loading.
Confirm the exact hotel pickup point, the group contact, the passenger-ready time, and how the group will be divided before the vehicles arrive. The objective is to load efficiently without blocking a working lane or asking passengers to search for several vehicles.
What to Send for a McCormick Place Multi-Vehicle Quote
